3. Prices

All prices displayed on this website are subject to change without prior notice. Prices are only guaranteed once full payment is received and confirmed by us. At the time of booking, we will indicate any applicable additional fees, taxes, or surcharges, including but not limited to local taxes, government fees, and service charges. Prices quoted are based on exchange rates, tariffs, fuel costs, and other market conditions at the time of quoting. In the event of significant changes to these rates, we reserve the right to adjust prices accordingly to reflect new conditions. Price increases may occur as a result of, but are not limited to, currency fluctuations, fuel surcharges, changes in tax rates, and other external factors beyond our control.

If price adjustments are necessary after full payment is received, we will promptly notify you and offer options, including cancellation with a refund, where required by applicable law. We recommend that you regularly review prices and terms prior to completing your booking to ensure that you are fully informed of the latest conditions and any applicable fees.

4. Final Documents Review

It is the responsibility of the traveler to thoroughly review all travel documents, itineraries, and related materials for accuracy. Travelers should immediately report any discrepancies or errors to us within 24 hours of receipt to allow prompt correction. Failure to report discrepancies within this time frame may result in additional charges or loss of services, for which we cannot be held responsible.

We strongly recommend that travelers verify all details upon receipt, including but not limited to names, travel dates, destinations, and itinerary specifics. If corrections are required due to traveler error, additional fees may apply. Our liability is limited to correcting errors that we make; we are not liable for any loss or inconvenience resulting from traveler oversight.

5. Unused Tour Elements

No refunds, credits, or other forms of compensation will be provided for any unused tour elements, including but not limited to accommodations, meals, activities, or other services, regardless of the reason for non-use. If a traveler chooses not to utilize any part of the services provided, no adjustments or reimbursements will be issued. This policy applies to, but is not limited to, missed flights, unused hotel nights, skipped meals, and skipped activities.

We encourage all travelers to take full advantage of the services included in their tour package to avoid any financial loss. For additional protection, we recommend that travelers consider purchasing comprehensive travel insurance to cover unforeseen circumstances that may prevent participation in scheduled activities.

6. Baggage

Baggage allowances vary by airline, route, and destination, and it is the traveler’s responsibility to adhere to the applicable regulations. Mill-Run Tours, Inc. is not liable for any loss, damage, or delay of baggage, including any personal items within. Travelers should familiarize themselves with the baggage policies of their respective airlines, which may include size and weight restrictions, as well as any fees for excess or oversized baggage.

For added security, we recommend labeling all baggage with your contact information and travel itinerary. In the event of lost or delayed baggage, travelers should immediately contact the airline’s customer service and file a claim as per airline policy. Please note that Mill-Run Tours, Inc. is not involved in handling baggage claims or disputes with airlines. Travelers may also wish to consider travel insurance to cover unexpected baggage issues or losses

 7. Fees for Canceled Land Services

If you need to cancel land services such as hotel accommodations, tours, or car rentals, please note that cancellation fees may apply. These fees vary depending on the provider’s cancellation policy and the timing of the cancellation relative to the start date of the service. Full details on any applicable cancellation policies and fees will be provided at the time of booking.

To initiate a cancellation, you must submit a written request to Mill-Run Tours, Inc. Upon receipt of the cancellation request, the applicable fees will be deducted from the total refund amount. Some services may require a non-refundable deposit, which will not be included in any refund. We strongly recommend purchasing travel insurance to help cover potential cancellation fees and other unforeseen expenses that may arise due to changes in your travel plans.

8. Hotel Overbooking on Independent Travels

In rare cases of hotel overbooking, Mill-Run Tours, Inc. will make every effort to find comparable accommodations. If no suitable alternative is available, we will provide a full refund of the affected services. We will also assist in making alternative arrangements if possible. Travelers are advised to contact us immediately if they encounter any issues with their accommodation. We will liaise with the hotel on your behalf to resolve the situation as quickly as possible.

9. Refund and Complaints

Refund requests must be submitted in writing within 24 hours of the completion of travel. Complaints regarding services provided should be reported immediately to the service provider and Mill-Run Tours, Inc. We will make every effort to resolve the issue to your satisfaction. Refunds will be processed in accordance with our policies and may take up to 30 days to be issued. Complaints should include all relevant details and documentation to support your claim. We are committed to addressing all complaints in a timely and fair manner.

10. Guests Needing Special Assistance

Travelers requiring special assistance are requested to inform us at the time of booking, as early notification is essential to coordinate and arrange necessary accommodations. While we will make every reasonable effort to facilitate special needs, we cannot guarantee that all facilities and services—including but not limited to wheelchair access, dietary requirements, and medical equipment—will be fully accessible or available at all locations.

For specific needs, we recommend discussing these with our customer service team to assess feasibility and ensure appropriate arrangements where possible. However, travelers are also encouraged to communicate their requirements directly to service providers, such as airlines, hotels, and tour operators, before departure to ensure they are aware of any specific accommodations needed.

Please be aware that certain destinations and providers may have accessibility limitations beyond our control. We also recommend considering travel insurance to cover any contingencies related to special assistance needs that may arise during travel.

11. Escorted Tour Itinerary Changes

We reserve the right to make adjustments to escorted tour itineraries when necessary, including but not limited to changes in accommodation, transportation, activities, and schedules. Significant changes will be communicated to travelers as promptly as possible, and efforts will be made to provide equivalent or superior alternatives. Changes may be required due to unforeseen circumstances such as weather conditions, safety concerns, political events, or operational needs beyond our control.

While we strive to minimize disruptions, we ask that travelers remain flexible and understanding, as these adjustments are intended to ensure the safety and overall quality of the travel experience. Please note that Mill-Run Tours, Inc. is not liable for expenses incurred as a result of these changes, including additional transportation or accommodation costs. We recommend that travelers consider purchasing comprehensive travel insurance to cover any potential additional costs or losses arising from itinerary changes.

12. Escorted Tour Cancellation by Travel Agency

In the unlikely event that we must cancel an escorted tour, we will issue a full refund of all payments received for the tour package. However, please note that Mill-Run Tours, Inc. is not responsible for any additional expenses incurred by the traveler as a result of the cancellation, including airfare, hotel reservations, or other third-party travel arrangements made independently of the tour. Cancellations may arise due to factors such as low enrollment, natural disasters, political unrest, or other circumstances beyond our control.

To protect against potential financial loss due to such cancellations, we strongly recommend that travelers purchase travel insurance that includes coverage for trip cancellations, additional expenses, and rebooking fees. In the event of a tour cancellation, our team will assist with rebooking on alternative tours if available or provide guidance on similar options.

13. Responsibility

Mill-Run Tours, Inc. acts solely as an agent for the suppliers providing transportation, accommodations, and other travel-related services. We are not responsible for any injury, loss, damage, or delay to persons or property arising from the acts or omissions of these third-party service providers. Travelers acknowledge that each service provider (such as airlines, hotels, and transportation companies) has its own terms and conditions, which apply independently of Mill-Run Tours, Inc.’s policies. We strongly encourage travelers to review and understand these terms, as they outline rights, responsibilities, and potential limitations related to the services provided.

Mill-Run Tours, Inc. is not liable for delays, cancellations, schedule changes, or any other adjustments made by service providers, including those due to weather, mechanical issues, strikes, or other factors beyond our control. We also recommend that travelers consider purchasing comprehensive travel insurance to cover potential risks associated with these external factors, including trip interruptions, cancellations, and medical expenses.

14. Binding Arbitration and Governing Law

Any disputes arising out of or relating to this agreement shall be resolved by binding arbitration in accordance with the rules of the American Arbitration Association (AAA). This agreement shall be governed by and construed in accordance with the laws of the State of New York, without regard to its conflict of laws principles. In addition, You waive the right to have a jury trial.

The arbitration shall be conducted in New York, New York, and the decision of the arbitrator shall be final and binding on both parties. Both parties shall have the right to present evidence and arguments during the arbitration process. Each party shall bear its own costs and expenses incurred in connection with the arbitration, although the arbitrator may award costs and fees in accordance with applicable law.

15. Travel Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance to cover trip cancellations, medical emergencies, baggage loss, and other unforeseen events. Mill-Run Tours, Inc. is not responsible for any costs incurred due to a lack of insurance coverage or for any losses suffered as a result of not having adequate insurance.

Insurance should be obtained from a reputable provider and tailored to include coverage for the specific needs of your trip, such as medical evacuation, trip interruption, and any pre-existing conditions. Travelers should carefully review the terms of their policy to understand the coverage limits, exclusions, and claims process.

In case of an emergency, travelers should contact their insurance provider immediately to report the incident and seek assistance. Failing to do so may affect their ability to file a claim. It is the travelers’ responsibility to ensure they have appropriate insurance coverage in place prior to travel.

16. Passports and Visas

Travelers are responsible for ensuring they possess the necessary travel documents, including valid passports and visas, for their destination. Mill-Run Tours, Inc. is not liable for any issues, delays, or cancellations arising from improper or incomplete travel documentation. Passports should be valid for at least six months beyond the planned travel dates to meet international entry requirements.

We strongly advise travelers to check visa requirements well in advance of their trip to secure the necessary visas prior to departure. Each country may have different documentation requirements, and it is the traveler’s responsibility to familiarize themselves with these.

Failure to present proper documentation may result in denial of entry, fines, or other travel disruptions, for which Mill-Run Tours, Inc. will not be held accountable. We recommend keeping copies of all important travel documents, including passports, visas, and travel itineraries, in a secure location, as well as sharing copies with a trusted person in case of emergencies.

17. Health and Safety

Travelers are responsible for ensuring that they meet all health requirements for their destination, including vaccinations, health certificates, and other necessary documentation. We strongly advise consulting a healthcare provider or travel clinic well in advance of your trip for the most up-to-date information regarding health advisories and recommended vaccinations.

Health and safety guidelines must be followed at all times, including adherence to local laws and regulations regarding health and safety. Travelers should carry any necessary medications and medical supplies with them and ensure that these items are readily accessible during their travels.

It is also essential for travelers to inform us of any pre-existing health concerns or conditions that may impact their travel plans or require special accommodations. Please be aware that some destinations may have specific health-related entry requirements, and it is the traveler’s responsibility to stay informed and compliant with these guidelines. Failure to meet health requirements may result in denial of entry or other travel disruptions, for which Mill-Run Tours, Inc. cannot be held liable.

18. Conduct

We expect travelers to conduct themselves in a respectful and considerate manner at all times during their journey. Any behavior that is deemed disruptive, abusive, or dangerous may result in the traveler being removed from the tour or denied services without a refund. This policy applies to but is not limited to, harassment, excessive intoxication, and non-compliance with instructions from tour guides or service providers.

We reserve the right to refuse service to any individual whose behavior negatively impacts the travel experience of others. It is essential for all travelers to foster a positive and enjoyable environment, both for themselves and fellow participants.

Travelers should also be aware that any property damage, violations of local laws, or conduct that endangers others may lead to immediate expulsion from the tour and potential legal consequences. In such cases, Mill-Run Tours, Inc. will not be liable for any costs or losses incurred by the traveler. We encourage all travelers to remain courteous, cooperative, and considerate to ensure a pleasant experience for everyone involved.
